Transaction video review preparation helps authorized staff gather the right event details before searching recordings. The aim is a clear timeline, not a premature conclusion. Use the checklist to organize information from the business record and the relevant camera views without assuming that either source tells the whole story.

Identify the transaction precisely

Record the business location, register or workstation, event date, and transaction reference. Keep sensitive customer and payment information within approved systems. A review note should contain only what the authorized reviewer needs. Also record who requested the review and the specific question. A narrow question is easier to investigate than an open-ended request to search an entire shift.

Check the time references

Identify which system supplied each time and whether the displayed values use the same time zone and convention. Record any observed difference instead of silently adjusting it. Ask the responsible technical team to investigate a recurring discrepancy. A clear time reference helps the next reviewer understand how the business record relates to the video sequence.

Review the surrounding context

Allow enough context before and after the event to understand the sequence. Note view limitations such as an obstruction, a person outside the scene, or an activity that the camera cannot establish. Separate observations from interpretations. If the available material does not answer the question, record that limit rather than making an unsupported statement about what happened.

Finish transaction video review preparation

Follow the organization’s rules for access, export, retention, and sharing. Record the source, relevant times, and the person responsible for the next step. Keep an export in an approved location and confirm that an authorized recipient can open it when required. Finally, review any recurring problem with the workflow.
